1. Introduction and Purpose
Calemio integrates artificial intelligence (AI) technologies into its appointment management platform to enhance user experience and operational efficiency. This Artificial Intelligence Disclosure Notice ("AI Disclosure") is provided by Mio Bilgi Teknolojileri A.Ş. ("Company", "we", "our") in accordance with the Turkish Personal Data Protection Law No. 6698 (KVKK), the EU General Data Protection Regulation (GDPR), the EU Artificial Intelligence Act (EU AI Act), and other applicable transparency and data protection legislation. This disclosure explains how AI is used within our application, what data it processes, how automated decisions are made, the measures we take to ensure fairness and accuracy, and your rights regarding AI-assisted features. Transparency is a core value at Mio Bilgi Teknolojileri A.Ş., and we are committed to informing our users about how AI technologies operate within Calemio. This AI Disclosure should be read in conjunction with our Privacy Policy and Terms of Service, which together form the complete framework governing your use of AI-powered features within Calemio.
2. AI Features and Capabilities
Calemio includes an AI-powered assistant named Mio that provides the following capabilities:
- Natural language appointment scheduling through voice and text commands, enabling users to create, modify, and cancel appointments conversationally
- Smart scheduling suggestions based on real-time availability, client preferences, historical booking patterns, and staff workload optimization
- Automated appointment reminders and follow-up notifications with intelligent timing based on client behavior and no-show prediction
- Business insights and analytics powered by appointment data analysis, including occupancy rates, peak hours identification, revenue forecasting, and client retention metrics
- Client query handling and operational support for daily business management, including FAQ responses and service information delivery
- Natural language processing (NLP) for understanding user intent across multiple languages, including Turkish and English, with context-aware responses
3. Data Processed by AI
To deliver AI-assisted features, Mio processes the following data categories. All data processing is conducted in accordance with the principle of data minimization — we only process data that is strictly necessary for the intended AI functionality:
- Appointment details (date, time, duration, service type, status, cancellation history, and rescheduling patterns)
- Client information (name, contact details, appointment history, service preferences, and communication preferences)
- Business information (services offered, pricing, working hours, staff availability, branch locations, and room/resource allocation)
- User commands and queries (voice and text inputs directed at Mio, including natural language processing of intent and context)
- Usage patterns (scheduling habits, peak hours, service demand trends, seasonal variations, and workflow efficiency metrics)
4. How AI Decisions Are Made
Mio uses machine learning models, including natural language processing (NLP) and pattern recognition algorithms, to analyze scheduling data and user behavior to generate suggestions. All AI-generated outputs — including scheduling recommendations, business insights, and operational suggestions — are advisory in nature only. Mio does not make autonomous decisions that directly affect your business operations without explicit user confirmation. The AI system operates on a "human-in-the-loop" principle, meaning that every actionable suggestion requires user approval before execution. No appointment is booked, cancelled, or modified without direct user action. AI models are periodically reviewed, tested, and updated to improve accuracy and reduce potential biases. We employ internal quality assurance processes and monitoring systems to ensure AI outputs remain reliable, fair, and aligned with user expectations. The Company does not use AI for profiling purposes that produce legal effects or similarly significant effects on individuals.
5. Third-Party AI Providers
Certain AI functionalities within Calemio may utilize third-party AI services and infrastructure for natural language processing, speech recognition, and machine learning model hosting. All third-party AI providers are bound by data processing agreements that ensure compliance with KVKK and GDPR requirements. Data shared with third-party AI providers is limited to what is strictly necessary for service delivery, is encrypted in transit and at rest, and is not used by third-party providers for their own model training or any purpose other than delivering the contracted service to Calemio. 6. Your Rights Regarding AI Processing
In accordance with KVKK (Turkish Personal Data Protection Law No. 6698), GDPR, and the EU AI Act, you have the following rights regarding AI-assisted data processing:
- Right to be informed about the existence and nature of AI-assisted processing of your data, including the logic involved and the intended outcomes
- Right to object to automated decision-making processes and to not be subject to a decision based solely on automated processing that produces legal effects or similarly significantly affects you
- Right to request meaningful human review of any AI-generated recommendation or automated decision that affects your account or business operations
- Right to opt out of AI-assisted features entirely and use manual scheduling, client management, and business operations instead, without any degradation of core service quality
- Right to request deletion of AI conversation history, processed data, and any AI-generated profiles or behavioral models associated with your account
7. AI Model Training and Your Data
Calemio may use anonymized and aggregated data to improve AI model performance and accuracy. Individual user data is never used in its identifiable form for model training purposes without explicit, informed consent. You may opt out of contributing anonymized data to model improvement at any time through your account settings or by contacting us at info@miox.io. Opting out will not affect your access to AI features or the quality of service you receive. Any data used for model training undergoes rigorous anonymization processes to ensure that individual users, businesses, or clients cannot be identified from the training dataset.
8. Data Storage, Security, and Retention
AI-processed data is subject to the same security standards described in our Privacy Policy. All data is encrypted at rest using AES-256 encryption and in transit using TLS 1.3. AI conversation logs may be retained for up to 12 months to improve service quality and model accuracy, unless you request earlier deletion. These logs are stored on secure servers within the European Economic Area (EEA) and are not shared with third parties for purposes other than direct service delivery. Access to AI-processed data is restricted to authorized personnel only, subject to strict access controls, audit logging, and the principle of least privilege. In the event of a security incident affecting AI-processed data, we will notify affected users and relevant authorities in accordance with KVKK and GDPR breach notification requirements.
9. Limitations and Disclaimer
While Mio is designed to assist with scheduling and business management, AI technology has inherent limitations. Suggestions may not always be accurate, complete, or optimal for every situation. AI-generated business insights are based on available data patterns and statistical analysis, and should not replace professional business, legal, medical, financial, or any other form of professional advice. The Company does not warrant the accuracy, reliability, or completeness of AI-generated outputs. We continuously work to improve accuracy and reliability through regular model evaluation, bias testing, and user feedback integration, but users should exercise their own professional judgment when acting on AI recommendations. The Company shall not be held liable for any decisions made based on AI-generated suggestions or insights. Users acknowledge that AI outputs are tools to assist decision-making, not substitutes for human judgment.
10. Bias Prevention and Fairness
We are committed to developing and deploying AI systems that are fair, unbiased, and non-discriminatory. Our AI development process includes regular bias audits, diverse training data evaluation, and fairness testing across different user demographics and business sectors. If you believe an AI-generated suggestion exhibits bias or discrimination, please report it immediately to info@miox.io. All reports are investigated thoroughly, and corrective measures are implemented as necessary.
11. Updates to AI Features and This Disclosure
We may update, improve, or modify AI features over time to enhance service quality, add new capabilities, or comply with evolving regulatory requirements. Significant changes to how AI processes data, makes suggestions, or utilizes new AI technologies will be communicated through the app, by email, or via in-app notifications at least 30 days before taking effect. This disclosure will be updated accordingly to reflect any material changes in AI functionality, and the "Last updated" date at the top of this page will be revised. We encourage you to review this disclosure periodically. Your continued use of AI features after changes take effect constitutes acceptance of the updated disclosure.
