Where your customers' data sits

Customer names, phone numbers, e-mail addresses and notes are encrypted with AES-256-GCM in the database.
An exact-match phone-number search is answered through a keyed one-way index — the table is never decrypted to find a match. Partial-number searches return no results.

How do my customers book an appointment?
Your customer uses the booking link to choose a staff member, date and time, then enters their name, phone number and email address. After verifying their phone with a one-time SMS code, they see that their request has been received and is pending approval, along with a reference code. Unavailable and past dates cannot be selected.
Can two appointments be booked for the same time?
Availability is recalculated on the server when the customer submits the appointment. If the selected slot has been taken in the meantime, the booking is refused; service duration, working hours, breaks, time off and overlapping appointments are also taken into account.
Can I enter working hours and time off?
You can create weekly schedules, assign them to branches or staff, and define breaks and default working hours within them. You can record short blocks, personal days off, custom hours for one day, public holidays, date-range leave, sick leave, room maintenance and rooms held for events. Closing the whole business or one branch for a day removes the affected staff from appointment availability.
Room maintenance and room reservations appear on the shared time-off list but do not remove bookable slots. Person-level time off is created per branch in the apps.
Can I block a few hours for a dentist appointment, supplier visit, or staff meeting?
Enter a reason and block selected hours of a normal working day in 30-minute or hourly intervals, or block the whole day in one action. Blocked hours are shaded on the calendar and are not offered for booking; the rest of the day keeps taking appointments. Remove the block and the hours come back.
Can I define my services and prices?
For each service, you can set a name, description, price in ₺, $ or €, duration from a few minutes to a full day, icon and display order. Services can be switched off without deletion and arranged under colour-coded categories with emoji labels. The service catalogue is shared across branches, and the appointment uses the selected service's duration and price.
How do I move my customers to Calemio?
You can import customers from your phone contacts individually or in batches of up to 500. Duplicates within an import are merged, existing customers are linked instead of recreated, and the result shows how many contacts were imported, already recorded or unreadable. You can also fill in your business details by searching its name or pasting its Google Maps link.
Customer imports are made from phone contacts in the mobile app.
How do I add my team?
You invite a staff member with their name, phone number and job title, then set their access options and calendar colour. The invitation is sent by text, with an email as well when an address has been entered. The invitee can accept or decline in the mobile app, and one person can be a staff member at several businesses.
The web form asks for an email address; the mobile form currently does not. Invite and remove permissions are enforced in the apps, not yet as a server-side security boundary.
Who can see and do what?
For each staff member, you separately set whether they appear on the booking calendar, can create and change appointments, manage staff, manage the branch, and access business settings and billing. These options control what staff can see and do in the apps.

Does the calendar update instantly for the team?
While the mobile app is open, new appointments, confirmations, cancellations and changes appear in real time, and notification read status syncs across devices. Staff receive push notifications on signed-in phones and tablets that open the relevant appointment.
Real-time updates work only in the mobile app, not in the web portal. Appointment reminders are sent by SMS rather than push notification.
When are reminders sent?
Each reminder is recorded as a single send in the database; failed sends are retried at intervals, and regular checks requeue any that were left unfinished. Your business sets a night window and morning send time, so reminders falling within that window are held until morning in the business's time zone. If the appointment time changes, queued reminders move to the new time with the same lead time or are dropped if they would be late.
How do I manage more than one branch?
You can create several branches under the same business. Each branch has its own address, contact details, time zone, rooms, staff, calendar and booking link, while your login and customer list are shared. Staff see only the branches where they work, and a customer's record and history follow them across branches they have visited.
Can I work at more than one business?
One account can be a staff member at several businesses, and you can switch between them. Each business keeps its customers, calendar and settings separate. Your daily view combines available, booked and blocked times from every business where you work.
The combined all-workplaces day view is a mobile app screen.
How much does Calemio cost?
Calemio uses a monthly or yearly subscription, with the plan based on the total number of branches you own. Your branch allowance is shared across all businesses you own. Accounts that only use a personal calendar and appointments, without owning a business, do not require a subscription.
The mobile app offers plans for 1, 2 and 3 branches; plans for 5 and 10 branches are available in the web catalogue.
